Time is a pressing matter in today’s world. If you don’t use time wisely, you will regret what you miss out on. Family time, recreation, and rest can suffer when you work all the time.
To better manage the time you have in a day, have a plan for it! Always sit down the night before and make a list of what you must get done. Prioritize everything on the list and cross tasks off one by one as you accomplish them. Get into this habit, and you should reach more goals and have more time in the day.
Put a timer on. If you wish to focus on a task, set a timer for the length of time you wish to spend concentrating on the task at hand. If you need to work for one hour, set your timer for the hour so you are not looking at the clock the entire time.
Be sensible in allocating your time. Give each task the time it requires of you. You can really improve your stress management through better use of your time. When you have free time, use it to play catch up.
Do not be afraid to tell people to leave you alone when you are working. Hang a sign on the door, lock the door and block your phone calls when you need to get something done. This will help you keep your train of thought and focus on the task at hand. You will be far more productive without any interruptions.
If time management really isn’t your “thing,” pay attention to just one task at a time. People don’t get things done on time when they multi-task. If you try to do a lot, you may suffer. Take a minute to relax and breathe as you work on a single project through to its completion.
Make sure that you say no sometimes. Many people take on too many things because they feel they can’t say no, and then bring about their own stress. If that starts to happen to you, examine your current schedule. Perhaps there are tasks that could be given to others to handle? If there is, ask for some help from your family and friends.
A big reason that people cannot effectively manage their time is that they are not organized. Take some time and organize the files on your computer and in your office. So much time is wasted searching for things that are not in the right place. Everything file and folder should have a place and be put in the right place.
Do not allow yourself to become run down. If you are not getting enough sleep because you have overextended your calendar, you will not be able to be as productive. If you find that there are not enough hours in the day to sleep and work, it is time to find some help with work.
Put time limits on the work you are doing. Sometimes just the act of putting a time limit on something will make you much more efficient. Even if it’s something that only take a few minutes, give it a time requirement. Write them down on your to-do list and see how effective it is during the day.
Multi-tasking is a wonderful ability, but many people do not do it. Use any time when you are waiting, such as waiting for food to cook, to take care of another small task. For instance, you might set the table or clean your kitchen counter while watching that a pot does not boil over.
Get out of the house if you’re finding your concentration lagging. Sometimes a change of location is all that you need to renew your focus and operate much more effectively. It can be a real blessing to time management to change things up a few times during the day.
Keep the paper on your work desk organized. When you spend half of your time looking for a document, that is time wasted. Keeping your papers filed in a logical manner will make it easier for you to find what you need. You will also reduce the likelihood of losing important papers.
Decline any tasks that are really nonessential. Take care of those things that are urgent or important. Most of your time will be spent on matters that are both urgent and important. Anything that falls outside of these two categories does not deserve much of your time if you want to get things done.
Find out how to properly prioritize, and do what’s most important first. Do not do every task at once. This can cause you to lose quality in the tasks that you do. By listing and prioritizing your duties, you will be able to focus better and complete your tasks more quickly.
Divide your task list into four separate quadrants. Put less important tasks on bottom and more important on top. Put “urgent” and “not urgent” on rows. Never allocate more than 5-10 percent of your actionable time to the not important/not urgent section. Spend the majority of your time on the stuff that is marked urgent/important. Just be sure that you allocate enough time for the non-urgent but important quadrant so that those task will not end up turning into emergencies.
A great thing to do when you want to manage your time is to find out what your priorities are. When you know what (and who!) your priorities are, you are better able to avoid activities that don’t fit into your goals. When you have a long-term plan, you can avoid things that don’t get you where you want to go, and that can free up time.
Don’t let obligations get in the way of efficient time management. If you’re the type of person who likes to be helpful, you make take on tasks and responsibilities that you don’t actually have time for. Be honest about your capabilities. Return tasks that eat up too much of your time, and be more cautious about saying “yes” to favors that may require lots of work.
